This is a template that can be used by staff who are on-board new clients or existing clients for new projects. It is designed to be copied and pasted from here into a regular email and, eventually, integrated with our website through our Newsletter system so they can be automatically sent out.
Hi Client Name,
I’m name & title. It’s my pleasure to welcome you to The Portland Company and to explain a little bit about what you can expect for your projects.
First and foremost: thank you for your time and your business. We’re eager to impress, advise, and partner in all aspects of your marketing and business development.
As we begin your projects, we want to make sure you have a few things:
Note: Please remember to reflect on our Terms and Conditions, if you haven’t already.
You can review our agreement here. (include a link to proposal).
Timeline & Process
For a standard website we advise customers to anticipate 6-10 weeks before the website will be published. We’ve written an article to ensure you and your team feel informed, educated and confident throughout your project:
What we need from you:
- Domain registrar credentials (Ex. GoDaddy)
- Editable, high-resolution versions of your assets like your logo and letterhead
o Also, if you already have any photos you’d like on your website, please give those to us as well.
- Existing Website Host Credentials (Ex. GoDaddy, BlueHost, Wix)
o This could be the same as your registrar
- Google Account Credentials (This will be the same account for all Google services)
- Social Media Accounts & login credentials (Facebook, Instagram, Twitter, LinkedIn, etc.)
I will call you to go over these and to answer any questions you might have. Please let me know when would be convenient for you.
You can also read a more in-depth explanation of these on our website.
The staff that will be working on your project are listed below. You can always call our company line using the contact information on our website.
Spencer Hill – Principal
Jenica Haldeman – Executive Assistant (Billing & Administrative Questions)
Brittany Hill – Strategy & Photography
You can meet the rest of our staff here.
In addition, here are a few notes from our kick off call that we believe are important to you for all of us to remember throughout the life of your project(s):
When customers emphasize aspects of the project that are important to them and aren’t explicitly stated in the contract they should be placed here.
